Thank you for choosing ghvisuals photography LLC. Please take the time to read the important information down below as many of your questions will be answered.

*CLIENT AGREES TO TERMS BY BOOKING A PHOTO SESSION

*SESSIONS ARE BOOKED BY COMPLETING THE INQUIRY FORM ONLINE.

DAY OF THE SESSION

You agree that you will be dressed in your outfit and arrive on time to the chosen location with hair, makeup and any props ready prior to the session. A 10 min grace period is given, unless stated otherwise by the photographer. You’re always welcome to bring family and friends to your session for that instant confidence boost, but guest must not interfere with the photographer/photography taking place. All communication for photo delivery or questions after the session will be made via email or phone.

PAYMENT AND PACKAGES

A non-refundable retainer fee of $100-$500 is required to book and secure your date. Remaining balance for the rest of your photo package will be due 3 days before the session. The purpose of the retainer fee is to secure your date and time for the photoshoot. NO RETAINER, NO PHOTOSHOOT. You will not receive any photos, nor will editing begin, unless full payment of the entire package is made at the stated date. Cash, online payment (Credit/Debit/Square/ApplePay/Bank transfer) is accepted. You may not downsize to a smaller package after you have paid the deposit for that package. However, you may upgrade to a larger package at minimum 24 hours BEFORE photoshoot has begun, IF CLEARED with photographer.

A further payment of all necessary expenses (unless otherwise specified) such as parking, travel fees, etc must be paid the day of shoot. The Client shall reimburse the Photographer for any additional costs the Photographer may incur for travel, parking, and other reasonable costs necessary to the performance of these services. Cost of location permits for shooting/availability and the choosing of a location is the responsibility of the client.

CANCELLATION

We ask that you please reschedule or cancel your appointment at least 48 hours before the beginning of your appointment or you will forfeit ALL PAYMENTS made. If you arrive late to your scheduled appointment, any time allotted after the 10 minute grace period will consume the remaining time left in your photo session. You may reschedule your appointment at that point but you will have to pay a new retainer fee to book your new session, unless expressed otherwise by photographer.

RECEIVING YOUR PROOFS AND RETOUCHED PHOTOS

For short sessions, please allow time immediately after the session to review the photos and choose your photos you’d like retouched. If time does not allow for this, you’ll select your photos after your shoot. Please wait up to 1-2 calendar days from the end of your session to receive your proofs. Allow up to another 10-15 calendar days after you’ve selected your photos for retouching and gallery delivery.

PROOFS

Proof selection is sent digitally via PicTime or WeTransfer link and photos must be selected for retouching. Please try to make your selections as soon as possible to avoid delaying your turn-around time. If selections aren’t made by the client within 14 calendar days, your photos will be deferred to the photographer’s choice of your best photos from the session. Proofs are marked with a logo watermark, may not be full resolution and are used as a reference to choose the photos for retouching. Your selection must be sent by “hearting” or selecting “favorites” in the gallery, through email or text by "photo number" only. Photos from the proofs are unedited and may not be used for any purposes other than photo selection and may not be posted online for any reason, if so, it will result in a breach of contract and no further service or photos will be sent.

RETOUCHING TIME AND PROCESS

The retouching process begins once proofs are selected. The editing process may take up to 7-14 calendar days to complete depending on the photographer’s current workload. Clients who choose their proofs first will get their photos retouched first, regardless of when their photos were taken and which package they have. Photos are then watermarked again for final client review and approval. One editing change is allowed per photo. All approved retouched photos are final and may not be considered for re-editing. All changes are final once approved and any extra retouching desired by the client is subject to additional charges per revised photo.

EDITING, RETOUCHING AND STYLES

Basic retouching includes photo color correction, removing minor skin blemishes, getting rid of flyways and single strands of hair in the face. It does not include things like physically changing body shapes, fixing clothes, removing people from a photo or adding things to it. By choosing ghvisuals photography you acknowledge the style and colors used and agree to allow the photographer to choose the colors based on personal preference. If you'd like to choose your own editing style, client and photographer must agree to those terms before the editing process begins.

OVERALL APPEARANCE AND PERSONAL ITEMS

The photographer is not responsible for any missing, damaged or altered clothing/material belonging to the client. Nor is the photographer responsible for any styling, makeup issues, hair problems or any other factors in the session other than the directing and photographing of the client. Please be aware that for some photos you may or may not get dirty. It is ultimately your responsibility to make sure your clothes, makeup, hair and overall appearance are the way you want for the photos.

WEATHER AND SESSION CHANGES

If the weather is bad or the photographer becomes ill, you may put your deposit towards a reschedule date or be refunded your money. You will NOT have to pay a new retainer fee if rescheduling due to bad weather, unless expressed otherwise by photographer. However, if you need to cancel or don’t show up to your session, the deposit will not be refunded.

Event Details

Photographer shall be granted at least 45 minute early access to the venue for a walk-through, equipment setup and consultation purposes to assure details for the occasion are obtained. All photos from the event will be delivered digitally.

TRAVEL

Locations within 30 minutes of the Photographer’s city (Capitol Heights) will not require a travel fee. Any other location outside 30 minutes of it is subject to a separate charge based on distance ($1/mile). Unfortunately, we are not accepting destination work at this time.

DIGITAL FILES, CDs AND EXTRA PRINTS

All files will ordinarily be sent digitally through WeTransfer, PicTime or Dropbox and will be made available for download and printing. Prints are offered at the client's expense. All photo galleries will remain active for 30 days before being closed.

REFUNDS

We do not offer refunds. However, in the event of an emergency, equipment failure or other unforeseen circumstance not the responsibility of the client and/or their party, the photographer will return any money given up to that point but claims no further liability.

DAMAGES

In the event that a client damages any equipment, material or property of the photographer, the client accepts full responsibility for all applicable repair/replacement costs associated.

EXCLUSIVITY/COPYRIGHT

It is understood and agreed that no other photographer will be allowed to photograph or take pictures while the Photographer is working. Creative direction is provided by photographer but please be prepared knowing what you'd like to do in your session and photographer can assist as needed. Guests may use their cell phones for “bts” purposes as long as they shall not interfere with the Photographer’s duties. The photographer shall own the copyright in all images created. Photos taken are the exclusive property of the photographer and shall be used in an appropriate manner. Uses include (except pornography or defamatory) advertising, marketing, promotion, samples, websites, packaging for products. Photos may be combined with other images, text, graphics, film, audio, and may be cropped, altered or modified. The client is obtaining photos for personal use only, and shall not sell said photos or authorize reproduction of photos by parties other than the photographer. This clause also applies to all client's social media platforms.

PHOTO REORDERING AND TIME FRAME

After 30 days once the client’s gallery has been closed, the client may order more photos from your session by repurchasing your digital files. To keep things organized and conserve storage space, your photos may be deleted or unavailable 30 days after your session has taken place, and you waive any and all claims against ghvisuals photography LLC of the unavailability of such photos, even if you must replace them at your own cost. Therefore, it is recommended you select your photos mindfully and finalize your choices with the photographer as soon as possible.

FINALIZATION

Once payment balance has been made, you will be contacted and made aware when your photos are ready but it is your responsibility to check your email for your proofs or retouched photos.
